Public Meeting Room

The Atlanta Public Library exists primarily to provide organized library services to the community.  One of the ways in which it achieves this purpose is to make available the Conference Room for public gatherings.  The guidelines and procedures set forth in this policy have been established to govern the use of the tax-supported facilities.  The responsibility for implementing this policy and for scheduling the conference room rests with the Library Director and Library Staff.


DESCRIPTION OF FACILITIES: The Conference Room will comfortably seat fifteen (15) people in auditorium arrangement.  A small kitchenette adjoins the meeting room.

SCHEDULING OF ACTIVITIES: Applications for use of the meeting room are available at the circulation desk.  (An online version is available here, but deposits must be made in cash, in person.) Charges for this room will be according to a rate of schedule adopted by the City Council.  All requests will be filled on a first-come, first-served basis with two exceptions:

  • Library sponsored activities shall have first priority in scheduling.
  • Library related activities shall have higher priority than non-related activities.

Reservations are to be made by a "responsible party" representing an organization with the Library Director at least twenty-four (24) hours in advance of the meeting.  No group may assign its reservation to another group.  The Board reserves the right to review, accept, or revoke meeting privileges at any time.  Granting permission to use Library facilities does not constitute an endorsement by the Library Staff or Board of the users or their beliefs, nor will permission be granted based on Library Staff or Board beliefs.

RESTRICTIONS:  The meeting room may not be reserved for:

  1. Social gatherings such as showers, birthday parties, dances, trade shows, rummage sales, etc.
  2. Religious worship services (religious study groups are permitted).
  3. Meetings organized by a candidate for public office or by an organization formed especially for a candidate for public office.

Programs may not disrupt the use of the library by others.  Persons attending the meetings are subject to all Library rules and regulations.  The Library is not responsible for equipment, supplies, materials, or other items owned by group or individuals and used in the Library.  Such materials must be removed from the Library at the end of the meeting for which they are used.  The back door is to be used for entrance and exit from the building.  Any deliveries must be made through the back door.  All groups must furnish their own audio-visual equipment, except a screen which is installed in the room.  Also, a digital projector is available for group use upon request.

CARE OF FACILITIES:  The meeting room is to be left as it is found.  No additional furniture or equipment other than that already found in the meeting room will be provided.  Furniture or equipment from the main area of the Library must not be brought into the meeting room.  Groups using the meeting room are responsible for any special arrangement or rearrangement of the furniture.  The individuals making the reservations, as well as membership of the group as a whole, will be held responsible for any and all damages that may occur as a result of the use of the facilities or equipment.  Permission to use the Library meeting room may be withheld from groups damaging the room, floor, equipment, furniture, causing a disturbance, or any other failure to comply with the rules and regulations set forth herewith. 

SERVING REFRESHMENTS:  The staff kitchenette will be available if requested when the meeting room is reserved.  Only catered meals, covered-dish meals or light refreshments shall be served.  Dishes, kitchen utensils, and cleaning supplies must be furnished by the user organization.    No alcoholic drinks are to be served on Library property unless approved by the City Council.
